Privacy Policy

This Privacy Policy describes how Agri Flight LLC (“we,” “us,” or “our”) collects, uses, and protects your information when you use the Agri Flight Logs service (the “Service”). This policy applies to all users of our agricultural drone flight logging platform.

1. Information We Collect

1.1 Account and Authentication Information

  • Email addresses and authentication credentials
  • User profile information (name, contact details)
  • Organization and business information
  • User roles and permissions within organizations

1.2 Flight Operations Data

  • Flight logs and KML files containing GPS coordinates and flight paths
  • Flight dates, times, durations, and timezone information
  • NOTAM numbers and drift management practices
  • Pilot information and equipment details
  • Weather conditions (temperature, wind speed, direction, gusts)

1.3 Agricultural Application Data

  • Chemical information including EPA registration numbers and active ingredients
  • Application rates and adjuvant information
  • Application site details including field boundaries and acreage calculations
  • Crop types and field identification data

1.4 Business and Customer Data

  • Organization business profiles (company names, addresses, contact information)
  • Customer information (company names, contact persons, addresses, phone numbers, emails)
  • Grower information when different from customer
  • Equipment registration and maintenance records

1.5 Financial and Payment Information

  • Subscription and billing information processed through Stripe
  • Payment methods and transaction history
  • QuickBooks integration data for accounting purposes

1.6 Technical and Usage Data

  • Map screenshots and visualizations generated from flight data
  • System logs and usage analytics for service improvement
  • Device information and browser data (device type, operating system, browser version)
  • IP addresses, geographic location data, and session information
  • Login patterns, session activity, and account access history (used for account security and abuse detection)
  • Device fingerprints and identifiers for security purposes

2. How We Use Your Information

We use the collected information to:

  • Provide and maintain the agricultural drone flight logging service
  • Generate FAA-compliant reports and compliance documentation
  • Process payments and manage subscriptions
  • Facilitate QuickBooks integration for accounting purposes
  • Improve service functionality and user experience
  • Ensure compliance with applicable regulations
  • Communicate with you about your account and service updates
  • Provide customer support
  • Detect and prevent account sharing, fraud, abuse, and security threats
  • Monitor login patterns and session activity to protect account security
  • Enforce our Terms of Service and acceptable use policies

3. Information Sharing and Disclosure

3.1 We Do Not Sell Your Data

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

3.2 Service Providers

We may share information with trusted third-party service providers who assist in operating our service:

  • Google Cloud Platform and Firebase for hosting and data processing
  • Stripe for payment processing
  • QuickBooks for accounting integration
  • Google Maps API for mapping services

3.3 Legal Requirements

We may disclose information when required by law or to respond to valid legal requests, including:

  • FAA or other regulatory authority requests
  • Court orders or subpoenas
  • Law enforcement investigations

3.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, user information may be transferred as part of the business transaction.

4. Data Security

We implement industry-standard security measures to protect your information:

  • All data is encrypted in transit using HTTPS/TLS protocols
  • Data is stored in secure Google Cloud and Firebase infrastructure
  • Access controls and authentication systems protect against unauthorized access
  • Regular security audits and monitoring
  • Secure token-based authentication (no passwords stored directly)

4.1 Infrastructure Security

Your data is stored and processed using Google Cloud Platform and Firebase infrastructure, which maintains comprehensive security certifications including SOC 1, SOC 2, SOC 3, and ISO 27001. Google Cloud's security practices, incident response procedures, and data protection measures apply to all data stored within the Service. For details on Google Cloud's security practices, please refer to Google's security documentation.

4.2 Data Breach Notification

In the unlikely event of a security incident that results in unauthorized access to, or disclosure of, your personal information, we will:

  • Investigate the incident promptly and take appropriate remedial measures
  • Notify affected users as required by applicable law, typically within 72 hours of confirmed discovery
  • Provide information about the nature of the incident and steps you can take to protect yourself
  • Notify relevant regulatory authorities as required by law

Notification may be provided via email to your registered account email address, in-app notice, or other appropriate means. Please ensure your contact information is kept up to date.

Note: As our infrastructure is hosted on Google Cloud and Firebase, security incidents at the infrastructure level are subject to Google's incident response procedures. We will communicate any such incidents that affect your data as soon as we are made aware of them.

5. Data Retention

We retain your information in accordance with the following policies:

5.1 Flight Operations Data

Flight logs, work orders, KML files, and related compliance data are retained for three (3) years from the date of creation or last modification. This retention period aligns with typical agricultural and aviation regulatory requirements. You may request earlier deletion through your account settings, subject to any legal or regulatory retention obligations.

5.2 Account and Business Data

Account information, organization profiles, user credentials, and business data are retained for as long as your account remains active and for a reasonable period thereafter (typically 90 days) as necessary for business operations, customer support, and legal compliance.

5.3 Technical and Security Data

Login history, IP addresses, session data, and security-related information may be retained for up to one (1) year for account security, fraud prevention, and abuse detection purposes.

5.4 Temporary Data

Temporary files, cache data, and processing artifacts are automatically deleted after 30-90 days to optimize system performance.

5.5 Data Export and Backup

You may export your data at any time through the Service's built-in export features. We encourage you to maintain your own backups of critical data.

5.6 Account Termination

Upon account termination, we delete your data in accordance with the retention periods specified above, unless retention is required for legal compliance, regulatory purposes, or to resolve disputes.

6. Your Rights and Choices

6.1 General Data Rights

Depending on your location, you may have certain rights regarding your personal information:

  • Access: Request access to your personal information
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your information (subject to legal retention requirements)
  • Data Portability: Request your data in a portable format
  • Opt-Out: Opt-out of certain communications and marketing materials

6.2 U.S. State Privacy Law Rights

If you are a resident of certain U.S. states, you may have additional rights under applicable state privacy laws, including:

California (CCPA/CPRA): Right to know, delete, correct, and opt-out of sale/sharing of personal information; right to limit use of sensitive personal information.

Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), Utah (UCPA), and other states: Rights to access, correct, delete, and obtain a copy of your personal information; right to opt-out of targeted advertising and certain data processing activities.

Note: We do not sell personal information to third parties. We do not engage in targeted advertising using your personal information.

6.3 Exercising Your Rights

To exercise any of these rights, please contact us at support@agriflightlogs.com. We will respond to your request within the timeframe required by applicable law (typically 30-45 days). We may require verification of your identity before processing your request.

7. International Data Transfers

Our service is designed for users in the United States. All data is stored and processed on servers located in the United States using Google Cloud infrastructure.

8. Children's Privacy

Our service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children under 18.

9. Changes to This Privacy Policy

We reserve the right to modify this Privacy Policy at any time, in our sole discretion, by posting the revised Privacy Policy on our website or within the service. Changes will take effect immediately upon posting unless otherwise specified. For material changes, we will provide at least thirty (30) days advance notice where feasible, but reserve the right to make immediate changes for legal compliance, security, or operational reasons. Your continued use of the service after any changes constitutes acceptance of the updated Privacy Policy.
